How I Cut My Shopify Admin Time by 40% Using Notion

A simple Notion setup that automated order tracking, inventory checks, and daily tasks—no coding required.

I run a small Shopify store selling print-on-demand accessories. Last year, I was drowning in admin: checking orders, updating inventory, tracking ads. I timed it—averaged 90 minutes per day. That’s 7.5 hours a week on stuff that doesn’t grow the business.

So I built a Notion dashboard that does the heavy lifting. Here’s the core: a linked database to Shopify (via a simple webhook and Zapier) that auto-creates an order record with status, value, and customer notes. Then I added a formula that flags orders older than 3 days as “Needs Review.” Plus a rolling inventory view that subtracts sales from my stock counts.
